8. Annual Review and external communication of the Sustainable Fair Trade Management System
8.1 The Management review
At least annually, the Organisation shall review the outcomes of its internal audit and producer group feedback, and assess its progress against objectives and targets.
The Organisation's senior management shall:
  • review the effectiveness of the Sustainable Fair Trade Management System;
  • assure that corrective action is undertaken;
  • ensure that any necessary changes to policy objectives and targets are implemented;
  • agree to the information to be published in the Fair Trade report;
  • ensure that continual improvement is sustained.
8.2 External communication
The Organisation shall, on an annual basis, publish a Sustainability and Fair Trade Report. The report, submitted in paper or electronic form, shall be a summary of Key Performance Indicators and qualitative progress reporting. Special attention should be given to a summary of the initiatives the organisation is undertaking with its producers, workers and supply chains. Social dividends have to be identified and highlighted.
The report must always assess the short term (one year) against the long-term (3 year) objectives.
The report is produced in order to deliver validated information suitable for public procurement, mainstream distribution channels, and other stakeholders.
The reporting shall address
  • Fair Trade Business Development and poverty alleviation
  • Fair Trading Practices, pricing and business processes
  • Empowerment and Capacity Building of workers and supply chains
  • Health and Safety and Labour Issues
  • Environmental Stewardship
  • Product Related Requirements
  • Promotion of, or advocacy for, Fair Trade.
Before publication, the Organisation shall submit its report for independent external verification.
